Precision Planning Behind the Scenes
Before the event, we provided multiple single-use headphone options and worked closely with the client to select the most suitable solution for their audience and hygiene requirements.
Comprehensive production meetings were held to coordinate access times, bump-in logistics, and integration with other suppliers. Our technicians mapped infrared radiator positions across the event floor plan, including detailed power distribution and cable routing.
From this, we developed a complete equipment schedule based on:
• Floorplan dimensions
• Required signal coverage
• Redundancy and spare allocation
Equipment included:
• 2,500 headphones fitted with brand-new foam replacements
• 800 infrared receivers
• 2 central transmitters
• 10 infrared radiators
Every component was performance-checked to ensure event readiness.

Day 1: Laying the Foundations for Seamless Audio
Equipment was delivered to ICC Sydney, and installation commenced with the mounting of four infrared radiators along the central truss across Breakout A and Breakout B.
This configuration was engineered to provide robust digital infrared coverage well beyond the 400 receivers allocated to each breakout.
The system was then powered, and preliminary signal tests were conducted to confirm alignment, coverage strength, and correct functionality before proceeding to full commissioning.

Day 2: Signal Testing and Performance Validation
Once the truss was flown to final trim height, we configured the central transmitters and conducted a full coverage survey of both silent breakout spaces.
Testing included:

Signal strength verification across all seating zones

Dead-spot analysis

Boundary testing to ensure no signal bleed beyond breakout areas

Audio feed integration testing with the AV production team
The results were complete and consistent infrared coverage throughout both theatres

Day 3: Deployment at Scale
On Day 3, our team prepared and secured 800 Bosch infrared receivers directly to breakout seating, 400 units in each theatre.
Each receiver was fully charged, tested, and ready to run for up to 200 hours. The receivers were neatly aligned with the chair positioning for a clean presentation.
This ensured delegates could immediately engage with the system without distribution queues or setup delays

Day 4: The Silent Breakouts in Action
On event day, delegates entering the silent breakouts were provided brand-new, sealed headphones at entry points, with recycling stations positioned at exits.
The breakouts quickly reached capacity. Delegates simply:
1. Plugged in their headphones
2. Powered on the receiver
3. Began listening instantly
Although technicians were stationed in each breakout for support, the system proved so intuitive that assistance was rarely required.
Throughout the day, delegates heard from leaders across organisations, including:
Macquarie Bank, Accenture, Seven West Media, Salesforce, AFL, Deloitte, NSW Government, UNICEF and many others.
Despite being located within a large, high-energy exhibition hall, attendees experienced clear, uninterrupted audio without distraction from surrounding activity.
